It’s that time of year again! As our calendar year comes to an end Human Resources is working on year-end preparations. Here are a couple of changes to note:
1. The 2017 Federal Budget introduced measures that enable employers to issue T4 slips to employees electronically for 2017 and subsequent taxation years. In prior years, electronic T4s were only issued to employees who requested one. This change has significant benefits to employees and the University:
- Immediate Access Anywhere
- Increased Security
- Reduced Carbon Footprint
Employees' 2017 T4 will be available on campus login prior to February 28, 2018. If an employee requires assistance accessing their electronic T4 or would like a printed copy please contact us at payroll@upei.ca.
2. New 2018 Federal and Provincial Personal Tax Credits Return (TD1) forms have been released by the Canada Revenue Agency. If employees are claiming any additional tax credits on either their Federal or Provincial TD1 forms please submit updated forms to Human Resources as soon as possible. Please see the link to the updated forms on our HR Portal:
3. New address change form located in MyUPEI. All employees should review their current address on file in campus login. If there are any changes, please see the address change form on the right hand side of the MyUPEI home page (under UPEI Forms). Please see the link to the new form:
We have a limited amount of UPEI fitness training grants ($75/person) available for small group training or specialty/cycle fitness classes. If you received a grant in the Fall of 2017 you can apply again. The following form must be filled out, and returned via email to amarchbank@upei.ca. Applications will be accepted on a first come, first serve basis (according to email date/time received). Please DO NOT take the form to Panther Central desk. Email is the fastest way to secure your application.
The holiday schedule for specific departments, and the pay dates/deadline changes for the month of December have been posted to myUPEI.

The next deadline for submitting Biosafety applications including new applications, renewals and/or amendments is Tuesday January 2, 2018. These applications will be reviewed at the January 2018 meeting.

Ethics protocols that involve ‘more than minimal risk’ must be reviewed by the full UPEI Research Ethics Board. The next deadline for submitting these protocols is Tuesday January 2, 2018. They will be reviewed at the January meeting. Protocols involving ‘more than minimal risk’ that are received after January 2 will be reviewed at the February 2018 meeting.
Other ethics protocol submissions, including new applications that do not involve ‘more than minimal risk’, renewals, and amendments may be submitted at any time. They will be sent for delegated review as soon as all necessary forms are received.
Please ensure that you download and use the current forms from http://www.upei.ca/research/forms. Use Adobe Reader to complete forms.

Reflection is the mediator between knowledge and experience and is a vital skill for instructional professionals in order to continuously improve their teaching. Does becoming a more reflective practitioner sound like a good New Year’s resolution? What if it could also help you achieve a professional or personal goal for 2018? If so, then this workshop will be a great way to ensure that that resolution becomes a habit. Participants will be provided with exercises to practice reflection daily over a 30 day period while working towards the creation of at least one goal to achieve in 2018. This is a collaborative learning experience as participants will share between them and comment on their daily reflections. Offered by the E-Learning Office, this workshop consists of two face-to-face sessions (January 8 and February 7, 12:00-1:00 PM, Rm 265 Robertson Library) with the remainder of events, occurring between those sessions, online. Register early as space is limited for this event.

Please note the following changes to hours of operation for the food services retail locations on campus:
December:
- Friday, December 1: the Micro-Market (School of Sustainable Design Engineering) closes for the holidays
- Friday, December 8: Samuel's Cafe (Robertson Library) closes at 3:00 pm until after the holidays
- Friday, December 22: the AVC Cafeteria closes at 3:00 pm until after the holidays.
- Sunday, December 17: Wanda Wyatt Dining Hall, with the exception of special functions and catering services, closes for the holidays at 12:00 pm.
Beginning Monday, December 11, The Courtyard Cafe (W.A. Murphy Student Centre) hours of operation will be:
- 7:30 am to 7:00 pm, Monday - Thursday
- 7:30 am to 3:00 pm, Fridays
- Friday, December 15: this location will close at 3:00 pm for the holiday break
Please note that Tim Horton's and On-the-Go products will be available at the Courtyard Cafe. However, the Grill will be closed until after the holidays
Tuesday, January 2:
- The Wanda Wyatt Dining Hall will resume regular hours of operation beginning at 4:00 pm
- AVC Cafeteria will resume regular hours of operation (Monday to Friday 8:00 am to 3:00 pm)
- The Courtyard Cafe will be open from 8:00 am to 3:00 pm
Wednesday, January 3:
- The Courtyard Cafe will resume regular operations with new daily hours (Monday to Thursday 7:30 am - 8:00 pm and Friday 7:30 am - 3:00 pm)
- Samuel's will resume regular hours of operation (Monday to Friday: 8:00 am - 3:00 pm)
Monday, January 8:
- Micro-Market will resume regular hours of operation (Monday to Friday 8:00 am to 3:00 pm)

On behalf of the UPEI Health Centre Team, we would like to encourage all campus Faculty, Staff and Students Staff to get the flu shot. The best way to protect yourself and others from the flu is to get vaccinated each year.
Health PEI offers Public Health Nursing Community Flu Vaccination Clinics. These Clinics are provided on a walk-in basis, no appointments are required.
The Flu Clinic Information Line, 1-855-354-4358 (4FLU) is open 24 hours a day, 7 days a week and provides up-to-date information about flu vaccination clinic dates, time and locations in your area.
Flu vaccinations are also available through your family physician or nurse practitioner and at local pharmacies across the province.

The monthly meeting of the UPEI & Friends Neuroscience Journal Club will be held on Friday December 8, 2017 from 3:00 to 4:00 pm in the "fishbowl" of the Duffy Research Centre (NRC).
All neuroscience research students as well as faculty, scientists and staff with an interest in neuroscience topics are welcome to attend. For a copy of the paper to be discussed please contact Andy Tasker at tasker@upei.ca.

Interested in inviting an international student to your home during the holiday break? Have your kids grown up and you would like to have some company for holiday meals? Every year there is a large number of international students who spend the holiday break alone. Many would love to have an opportunity to share a meal with a local family during the holiday season.

December 6 is the National Day of Remembrance and Action on Violence against Women in Canada. Established in 1991 by the Parliament of Canada, this day marks the anniversary of the murders in 1989 of 14 young women at l'École Polytechnique de Montréal. The PEI Advisory Council on the Status of Women will hold the annual Montreal Massacre Memorial Service on Wednesday, December 6 at 12 noon in Memorial Hall at the Confederation Centre of the Arts in Charlottetown. The guest speaker at this year's service will UPEI's Director of Student Affairs Treena Smith who will discuss "Bringing in the Bystander".
UPEI will observe the day by lowering the flags in front of Kelley Memorial Building and at UPEI Alumni Canada Games Place to half-mast.
Tuition Waiver forms for the Winter 2018 semester must be submitted to Human Resources by no later than December 19, 2017. When completing the form, please include all of the required information (Course name, time, start and end date, cost and the number of semester hours) to avoid any delays in processing the waiver. Please submit original forms directly to Human Resources (lower level Kelley building, room #143).

At the Chaplaincy Centre, thoughts are with the students during exam time, their success, and yes, of course, the chili dinner. On December 6 and 7, between 11:30 am–1:30 pm, a chili lunch and, this year, a vegetarian curry will be served at the Chaplaincy Centre, free for the students.
About 300 students show up each day with smiles and conversation during this busy week.
